Buying data from an external vendor sounds straightforward until you start using it. Outdated contacts, missing fields, duplicates, compliance gaps. These are problems that show up after the contract is signed, and by then the damage is already done.
Whether you are sourcing prospect lists, company databases, or industry datasets, evaluating a data vendor carefully before committing can save you a significant amount of time and cost. Here are five things worth checking.
1. How Often Is the Data Refreshed
Data has a shelf life. Job titles change, companies move, people leave organisations. A study by Salesforce found that B2B data decays at a rate of roughly 30% per year. A vendor selling you a database last updated 18 months ago is essentially selling you old information dressed up as current intelligence.
Ask directly: how often is the data updated, and what is the process for keeping it current. If they cannot answer this clearly, that tells you something.
2. What Is the Source of the Data
Understanding where data comes from is important both for quality and for compliance. Data sourced from public records, opted-in directories, or verified research processes is very different from scraped or inferred data. Vendors who are vague about their sourcing methodology are a red flag, particularly as data privacy regulations like GDPR and India's DPDP Act raise the stakes for how data is collected and used.
3. What Does Their Accuracy Guarantee Look Like
Many vendors advertise high accuracy percentages, but the definition of accuracy varies. Ask whether accuracy is measured at the point of delivery or at the point of use, and whether there is a replacement or refund process for records that turn out to be incorrect. A vendor confident in their data quality will have a clear process here.
4. Can You See a Sample Before You Buy
A sample dataset gives you a chance to check field completeness, formatting, and actual data quality before committing to a full purchase. Run the sample against your own records and your own criteria. If a vendor will not provide a sample, or the sample comes with excessive restrictions, proceed with caution.
5. Are They Compliant With Relevant Regulations
Depending on where you operate and where your target contacts are located, you may be subject to GDPR, CAN-SPAM, India's DPDP Act, or other regulations. A reputable data vendor will be able to speak to their compliance framework clearly. Buying non-compliant data is not just a quality problem. It can expose your business to legal risk.
Taking time on these five checks before signing any data contract is time well spent. The right vendor will welcome the questions.
